Principles of resume writing

In short, a resume is your business card, through which the employer gets to know you in absentia. Sometimes an illiterate presentation of your skills can become a reason for refusal even by an experienced and qualified specialist. Therefore, it is important to remember the four principles on which a successful resume sample is based when applying for a job:

  • Brevity. Remember that your resume should fit on one A4 page. Therefore, learn to present information about yourself briefly, focusing on the most important thing. Don't retell your autobiography. Focus on the key points of education, work experience and special skills. And don’t try to cheat by reducing the font size and reducing the distance between lines. Information must be readable. Therefore, do not reduce the font size below 12 point.
  • Specificity. The names of educational institutions, as well as organizations in which you worked, must be indicated specifically (and not just a university, factory, office, and so on). Also pay attention to the time frame. It is advisable to indicate dates accurately.
  • Credibility. Provide only truthful information about yourself. Do not attribute to yourself any non-existent regalia and skills. Do not indicate knowledge of a foreign language if in fact you have only learned a dozen words. The same applies to PC knowledge and other specific issues. The lie will be revealed either during the interview or in the first weeks of work. If you submit documents to a recruitment agency, you will be exposed even earlier, because employees carefully check the authenticity of your resume.
  • Selectivity. Include in your resume only information that directly relates to the position for which you are applying. If, for example, you plan to work as an accountant, keep silent about the fact that you have completed hairdressing courses. Do not rewrite the information contained in job application resume examples. The sample is just a hint.

Technical points

An ideal resume sample when applying for a job should be impeccable in all respects. It is important to take care of the formatting, because a carelessly drawn up document can scare away a potential employer. Here are some technical points worth paying attention to:

  • Most HR managers agree that it is not advisable to write the word “Resume” in the header of the page. And it’s clear what the document is. In addition, you are wasting an invaluable line in which you can provide essential information about yourself. Although, if the resume is short, it is permissible to indicate the type of document, thereby making it visually larger.
  • In your text editor, select the font Times New Roman. It is optimal for visual perception.
  • Text color is black only. This solution allows the reader to concentrate on the content of the document without being distracted by details. The only detail of the resume that has the right to be in color is the photograph.
  • The main text should be written in 12-14 font, depending on how much information you are going to put on the page. FULL NAME. It is advisable to highlight it in a font larger by 2 points. The names of subparagraphs should be highlighted in bold or underlined.
  • All margins except the left one should be equal to 2 cm. The last one is equal to 1 cm. These are standard parameters for business documents. In addition, all other papers in your personal file (if you are hired) will be drawn up exactly this way.
  • One and a half line spacing is optimal for reading. But if your resume sample when applying for a job contains a lot of information, then single spacing is acceptable.
  • Do not write information in continuous text. Divide it into meaningful paragraphs (it is advisable to leave a blank line between them). A table format is also acceptable.
  • Do not use decorative frames or pictures. A resume is primarily a business document.

Purpose of submitting a resume

Moreover, if you are applying for several vacancies at once, it is advisable to create a separate resume for each. It is possible that each of them will be considered by the heads of different departments.

The second point in the “Goal” section is salary. If you and the employer do not agree on this issue, he has the right to reject your candidacy at the stage of reviewing your resume. As a result, you won't have to haggle over pay during the interview. As a rule, it is customary to indicate the average amount that has established itself in the labor market for a given specialty. But if you objectively consider yourself a good specialist with extensive experience, you can increase this figure by 30%. But don't give a specific number. Write: "From... rubles per month."

Education

To create a resume for a job, the sample must contain information about your education. Here experts disagree. Thus, some consider it appropriate to mention school education, while others consider it unnecessary. The main part is secondary and higher education, indicating the period of study, educational institution, faculty, specialty and qualifications obtained. Don't use abbreviations. The employer may well not know the abbreviated names of universities and specialties; he will not waste time searching for transcripts on the Internet. Please write all names in full.

After basic education, indicate additional education. This could be some courses, trainings or electives. Write only about what is confirmed in the form of diplomas and certificates. Indicate only those courses that directly or indirectly relate to the planned activity.

A sample of the correct resume for applying for a job should contain information about professional experience. If you don’t have one, you can tell us about practical training at an educational institution. As for previous jobs, you need to provide the following information about them:

  • The time period from the moment of taking up a position until dismissal.
  • Name of the organization. No abbreviations - just the whole thing!
  • Scope of activity of the organization. If the title doesn't tell you anything about the specialty, be sure to provide a brief description.
  • Job title. Please note what position you held at your previous job. Ideally, your statement should be supported by an entry in the work book.
  • List the authorities and responsibilities and job functions you performed in your previous job. This will be a kind of additional confirmation of your professional skills.
  • Achievements. If you have any commendations or recommendations from a previous employer, please include them. Perhaps you contributed to increased productivity or profit levels? Be sure to include a numeric value.

When does such a need arise?

  • In a job search situation, for writing a resume, for an interview with a potential employer.
  • Within the company, when there is a transition from one career stage to another.
  • During the period of preparation for annual/quarterly certification.
  • etc.

But really, what is the best way to do this? I thought about it and started trying different options.

The practical application of all variations on the theme “what is best” swept aside one method after another. As a result, the option using the favorite coaching tool “Balance Wheel” showed its viability. I’m sure that the community audience is familiar with it, so I won’t describe it, and you can read a lot of useful information about this wheel on the Internet. Let's get down to practice.

So, take a sheet of paper, a pen and draw a circle. Divide it into 6-10 equal parts (or as many parts as you like). We label each area of ​​the circle, for example, as in my drawing. These are the areas of activity in which your achievements may lie.

Next, we formulate what each area of ​​your circle means. Why is it important? The fact is that, on the one hand, all definitions can be found in any textbook or Wikipedia. On the other hand, each company may have its own individual characteristics. And also your professional skills can only be yours.

Let’s say, if you work within a company and are preparing for certification, then the area “Working with clients” may have the following definition according to the information that the company puts into this concept - clearly explain over the phone the features of working with the service provided by the company, show restraint in conversation with a conflict client.

And in another company, “Working with clients” means creating a complete package of documents for a transaction, entering information into CRM, timely providing clients with changes to the transaction, and maintaining correspondence through electronic document management.

If you are creating a resume for yourself, then there may be this option - “Working with clients” - these are my unique abilities to understand the needs of the client, combine working on scripts with a “live” conversation, building long-term relationships with him.

A similar algorithm will work with other names of areas of the circle. As an example, a couple more definitions from the work of my clients:

  • “Leadership” - difficult situations in which I took responsibility for the decision made when working on a project, brought the work to a result.
  • “Communication skills” are my skills in negotiating with difficult people, with colleagues of different positions, with managers of different levels of government, etc.

Now, we write how many and what achievements you have in each professional field.

For example, “Effectiveness” is your effective actions that led to the planned result.

Example: “She suggested analyzing the ROI indicator in order to obtain data on the effectiveness of investments in training sales managers. The data results showed a direct correlation between the increase in sales volume and the new skills acquired during training.”

“Savings” - as a result of your work, the company saved its budget and received financial benefits.

Example: “I found new suppliers of such and such services or equipment, with lower prices, but without losing the quality of the product, concluded an agreement, and the company saved 30% of its usual budget for these expenses.”

“Profit” - the department team, as a result of your innovations, has increased sales compared to previous months.

Example: “I analyzed the motivation system for sales managers over the past 3 years, approved a new motivation system for the general director, implemented it, and as a result, revenue increased by 40% in the first month after the introduction of innovations, then by 30% monthly.”

The principle, I think, is clear. Here it is important to first formulate what you understand as “customer service,” “leadership,” “innovation,” etc., i.e., decipher each area of ​​the circle. And then write down your specific achievements.

In front of you are two sheets of paper:

  • The first sheet is a drawing with a circle of achievements.
  • The second sheet is a list of your achievements in each area.

We take the first sheet with a circle, and divide each area of ​​the circle into 10 equal parts. We have a scale from 0 to 10.

  • 0 - in the center of the circle.
  • 10 - on the outer line of the circle.

We look at the second sheet - our list of achievements. We count our achievements in each area and mark a point equal to the number of achievements in a particular area. Complete the circle of your achievements in this way. Look at this impressive list, these are your results today, you have something to be proud of!

The obtained data can be used in accordance with the situation - for a resume, for certification, for an interview, etc.

How else can you work with the Circle of your achievements for the future:

  • Notice in which areas there is more achievement and in which there is less. You may be able to better understand your strengths and weaknesses in your profession or career.
  • Mark the areas in which you want to achieve more. Write down three simple steps on how this can be achieved. Take this plan to work and implement it.
  • Plan your success in an area where you have not yet received results, this will be your development zone.

This tool has only been used in my practice for six months so far. During this time it has never let me down. Everyone who tried it in their work noted two main points:

Why is describing achievements and performance important?

Some HR experts believe that a resume is a type of document that can be classified into several varieties. In particular, there are researchers who divide these types of resumes into documents adapted for a specific vacancy or of a general nature, and also divided according to their purpose into chronological and functional.

Choosing any one (or combining several) will affect how a particular candidate prefers to write a resume.

Resume - only for the vacancy

Many HR experts advise sending the employer exclusively targeted resumes - those that indicate the candidate’s desire to apply for a specific vacancy. Companies, experts believe, do not particularly like to deal with people who have decided to simply declare themselves without a specific goal and do not know how to write a resume when applying for a suitable position.

Resume - for any job

The opposite point of view is that it is possible and necessary to send resumes in which the person reflects their readiness to work in principle. The company itself must “appoint” the candidate to the vacancy for which it deems necessary.

Chronological view of resume

Such documents outline the candidate’s career path in relation to sequence in time (direct or reverse). This is now the most common type of resume. Its main advantage is that the employer sees a fairly detailed picture of the candidate’s work history. The main drawback is that it is not easy to identify a particularly important stage for the HR manager checking a resume, and it is not at all a fact that he will be able to discern it himself.

Functional type of resume

This type of document reflects the candidate’s qualifications, professionalism, experience, and achieved results. The sequence of facts reflecting the work biography recedes, as a rule, into the background. Some HR specialists treat this type of resume with expressed distrust, believing that the person could have presented the facts not entirely correctly (in some places taking credit for someone else’s achievements, in others wishful thinking).

There is, of course, a combined type of resume that combines the features of functional and chronological. You just need to be able to present the facts in the right structure. Our short instructions can help you decide what it should look like (and after reading it, we can see an example of how to write a resume, a sample of how to compose it).

Optimal resume structure

HR specialists believe that the following resume structure could be typical:

1. Title (candidate’s full name).
2. Purpose of submitting the document.
3. Basic information about the candidate.
4. Education.
5. Work experience and other activities.
6. Additional information.
7. Conclusion.

This is a relatively universal scheme; it is suitable for people who want to understand how to write a resume for a teacher, engineer, manager, one might say, for any profession.

What do we write in the title?

It is recommended to write only your full name, as well as the title of the document “resume” (so that it does not get lost on the desktops of the HR department). The title should be distributed across the entire width of the sheet, and the word “summary” should be in the middle.

What purpose do we indicate?

It all depends on one of the two strategies described above - the desire to work in a specific position or the intention to find a job in general. If the first option, we write in the goal “applicant for such and such a vacancy” (for example, “designer”, “programmer”, “engineer”). If the second one, we write in the goal “employment in such and such a profile” (for example, “sales,” “research,” “marketing”).

In the same section, many HR specialists recommend specifying the desired conditions for salary (if possible, we specify market average figures), and the form of employment (which can be full-time, part-time or temporary). It can be noted that there is a readiness for remote work, business trips, and a flexible schedule.

Basic information about the candidate

These include:

  • Full name, date of birth.
  • Registration address (actual residence).
  • Marital status, whether there are children.
  • Contacts - telephones, e-mail, VOIP, social network profiles.
  • Total work experience (in years).

Education

How to write education on a resume? We indicate the name of the university (or secondary vocational educational institution), its full form (that is, for example, not FG, but “federal state”. We write the year of admission, graduation and specialty (qualification). We indicate the diploma number. And so - for each institution where you studied.

If there are professional certificates obtained outside the university (for example, courses in advanced knowledge of programming languages), please indicate below (course name, place and duration of training).

Experts advise writing what has been stated in the work book for the last ten years. If the work was in several segments, then you can somehow highlight them.
