How to fill out SZV-STAZH in the 1C: Accounting 8.3 program

The SZV-STAZH form was established by Resolution of the Board of the Pension Fund of the Russian Federation dated January 11, 2017 No. 3p and was first submitted in 2017. The reporting period for submission is a year, the deadline is no later than March 1 of the year following the reporting one; additional forms are sent if a pension is assigned to an employee.

This report reflects information about the length of service of employees, broken down by length of service calculation codes, such as DLOTPUSK, VRNETRUD, CHILDREN, etc., which allows regulatory authorities to collect complete information about the employment of employees.

To generate a report in the 1C Accounting 8.3 program, you need to follow the navigation path: Salaries and personnel / Insurance premiums / Accounting documents.

By clicking the “Create” button on the action panel of the open list of documents, the person responsible for submitting reports creates a new document “Information on the insurance experience of insured persons, SZV-STAZH”.

  • Organization;
  • The year for which the report is generated and submitted;
  • The date in the newly created report is set to the current system date;
  • The number will be assigned when recording a report in accordance with the system numerator;
  • Type of information (initial, supplementary or pension assignment).

To fill in the information in the report, you need to click the corresponding “Fill” command on the action bar. The tabular section will include all insured employees for the specified year.

In the details at the bottom, the fields “Manager” and “Position” are automatically filled in from the organization details located in the “Signatures” section of the organization card along the navigation path: Main / Settings / Organizations.

By double-clicking on a row in the tabular section, you can go to the detailed form for the employee and, if necessary, edit the data. Personalized data is filled in automatically from the employee’s card; if errors are identified, corrections are required in the “Employees” directory.

By clicking the “Upload” button, the xml report file is saved; if the connection settings have been completed, the file can be downloaded directly from the program using the “Submit / Send to PF” button.

After receiving a receipt for the report from the Pension Fund, it is recommended to set the “Document accepted by the Pension Fund” flag. The data will be closed for editing, and the “Record” and “Post” buttons will become unavailable.

Corrections to previously submitted reports are reflected by the “Document Type” attribute in the form header. In case of correcting errors in the primary report or entering an absent employee, you must create an additional form with the “Additional” type and select the required employees from the “Individuals” directory using the “Selection” button. If an employee retires and the form for this period has not yet been submitted to the Pension Fund, then a report with the type “Pension Assignment” is generated.

When entering a document called “Sick Leave”, the configuration will automatically calculate the insurance period for the calculation. When a specific employee and the start date of his disability are entered into the document without user participation, the document form will be filled in with data on the length of service and the percentage of his payment.

Moreover, if necessary, we can change these details directly in the document. Of course, it is much easier to enter them once during the process of hiring a specialist, so as not to re-check information about his work experience when entering each sheet of incapacity for work. Data on length of service is contained in the directory of individuals in the work activity table. This is where you need to enter information when hiring an employee.

You can activate the directory of individuals in 1C:ZUP in the following ways:

  1. Select the “Enterprise” tab on the desktop;
  2. in the main menu, click on the “Enterprise” item, then “Individuals”;
  3. If, when entering a “Sick Leave”, length of service is not considered because data about it is not entered, you can open the directory of “Individuals” directly from the document.
  • click “Open” (the magnifying glass picture on the right next to the “Employee” attribute);
  • the employee directory form will appear;
  • here we click on the hyperlink “More details about an individual”;
  • the form of the element in the directory of individuals corresponding to the selected employee will open;
  • at the top there is a “Labor activity” button, you need to click it;
  • A form will appear in which the experience is entered.

If it turns out that the specialist’s total experience is displayed, but does not affect the sick leave percentage, then to calculate the experience you will need to enter data about another experience. To do this, click on the general experience table using the right mouse button. In the activated menu, click on “Add”.

Select “Insurance length of service for payment of sick leave” in the new line of the column “Type of length of service”. Press Enter on the keyboard and enter the start time of the internship in the “Reference dates” column. Now you need to click “OK”, close the forms of directories of individuals and employees and refill the sick leave with the start date of incapacity for work.

Now you can see that the length of service and the percentage of sick leave will be changed.

Next time you won’t need to repeat this entire operation: the length of service will be calculated automatically.

Additional features

Nowadays you can find extensions for “1C:ZUP” on the Internet that add a special button to the work activity form, with which you can calculate the length of service from the work book. To do this, you will need to select the desired type of experience in the table of information about experience, enter the periods according to the work book in the table of places of work and click on “Calculate experience.”

Such extensions work in “Salary and HR Management” version 3.1 on the “1C:Enterprise 8.3” platform. You can add an extension using the configurator. To do this, you need to create a new empty extension and load the downloaded modification into it.

The types of general experience that are taken into account in the program are described in the directory Types of experience(menu Salary calculation - Setting up salary calculation - Types of experience). This directory is intended to store the types of experience of individuals that must be taken into account in the program. If it is necessary to take into account other types of experience of individuals, these types of experience must be described in the directory Types of experience.

Predefined types of experience:

  1. Continuous experience- this is the duration of the last (without interruption) work in the organization, and in cases provided for by law, also the previous work or other activity. Total scientific and pedagogical work experience is the total duration of work in scientific and educational institutions. Records of this experience are kept for scientific, scientific and pedagogical workers.
  2. Total experience– for this type of length of service, the total duration of work under an employment contract or other socially useful activity is taken into account.
  3. Teaching experience– the total duration of work in educational institutions in positions related to the educational process. Records of this experience are kept for scientific, scientific and pedagogical workers.
  4. Experience required to pay sick leave, taking into account non-insurance periods (since 2010)– “extended” insurance period, taking into account non-insurance periods. Accounting for this type of length of service is carried out only for employees who have such non-insurance periods. This type of length of service is necessary to determine the amount of additional costs for the payment of temporary disability benefits associated with the inclusion of non-insurance periods in the insurance period of the insured person, the financial support of which is carried out through interbudgetary transfers from the federal budget provided to the budget of the Social Insurance Fund of the Russian Federation.
  5. Length of service for long service bonus– length of service giving the right to a long service bonus. This type of length of service is recorded if the organization pays a bonus for length of service.
  6. Insurance experience for paying sick leave– insurance experience to determine the amount of benefits for temporary disability.

Entering information about an employee’s length of service is carried out in the form Labor activity called by button Labor activity from the form for editing the data of an individual in the directory Individuals(menu Personnel records - Individuals).

  1. In the tabular part of the form Labor activity provide information about the employee’s previous places of work.
  2. In the tabular part of the form General experience Enter information about the employee's length of service. In order to enter data about a certain type of experience, you need to add a new row to the tabular part (using the right mouse button, select the item Add) and indicate:
  • in the props Type of experience- type of experience;
  • in the props Reference date- the date of employment in the institution, in the Years detail - the number of full years of experience as of the reference date;
  • in the props months- the number of full months of service as of the reference date;
  • in the props Days- number of days of service as of the reference date.
  • In chapter Work in the North records are kept of the “northern” experience. To save and post the document, click on the button OK.
  • Based on the entered data, the length of service to determine the amount of sick leave accrual is calculated automatically: the number of years, months, days that have passed from the date of counting the length of service (date of admission) to the date of the start of the insured event is added to the number of years, months, days.

    The insurance period is the total length of time for paying insurance premiums and taxes.

    The temporary disability benefit depends on the length of the insurance period and the amount of funds received will be:
    1. Insurance work experience of more than 8 years - 100% payment in full.
    2. Insurance work experience from 5 to 8 years - 80% payment of funds.
    3. Insurance work experience from six months to 5 years - 60% payment
    4. The insurance work experience is less than six months - the benefit is paid in the amount of the minimum wage for a full calendar month.

    Also, benefits can be paid in an amount not exceeding the minimum wage using wage coefficients accepted in the given region and locality.

    In the “Sick Leave” document, the insurance period for calculating sick leave is calculated, and the “1C Salary and Personnel Management” program will do this process automatically.

    When filling out an employee’s document and entering the start date of his disability, information about the length of service is automatically filled in to calculate the sick leave and the percentage of its payment.

    Details for entering “Number of years” and “months of experience” are available for editing and their correction is possible directly in the document, but it is better to enter all the necessary data the first time when hiring a new employee and not check information about the employee’s length of service when entering each certificate of incapacity for work . The accountant can also change or enter the percentage of payment from earnings.

    How to do it?
    All information about length of service can be viewed and edited in the “Individuals” directory, in the “Labor Activity” tabular section. Also, when hiring a new employee, data on the employee’s length of service should be entered into this directory for the system to fully operate. If this is not done, the system may incorrectly calculate the employee’s length of service or not calculate it at all.

    Where is the “Individuals” directory located in the program?

    There are several ways to find this section.
    1. Through the main menu of the program: Item “Enterprise” -> “Individuals”.

    3. If an error occurred when entering the “Sick Leave” document and the employee’s length of service is not considered or data on general insurance was not entered at all, then you can go to the “Individuals” directory directly from the document.

    To do this, you need to click on the “Open” button, which can be found on the right side of the “Employee” attribute. After this, the “Employees” directory form will open.

    In the top panel there is a button “Labor activity”. After clicking on which, a form for entering experience will open.
    As can be seen from Figure 6, the total length of service for employee Akimova has been introduced. But the percentage of payment for sick leave does not apply. In order to change this, you need to enter information about a different type of experience.

    Right-click on the “General Experience” table and in the context menu, select “Add”

    In the “Type of experience” line that appears, select the type of experience “Insurance experience for payment of sick leave”.

    Click “OK” and close the “Individuals” and “Employees” directory forms. Next, we refill the start date of incapacity for work on the sick leave certificate.
